Facility Arrangements

We can help you choose the perfect location for your conference or meeting, whether it's on- or off-campus. We're well acquainted with campus facilities and staff. If you're going off-campus, we'll visit the sites you're considering and use our many years of experience to evaluate meeting space, catering services, audiovisual capabilities, service orientation, and costs. Not sure where to hold your event? We can make suggestions.

We'll spell out the advantages and disadvantages of each location for you, so that you can make an informed choice. We'll handle contract negotiations with the site you select and make sure that the terms are favorable to you and your organization.

We'll track and meet all of the many deadlines (meeting space reservation, audiovisual requests, meal counts, lodging guarantees, etc.).

AV and Teleconferencing

The Office of Lifelong Learning and Education is familiar with the latest in audiovisual equipment and teleconferencing techniques. We'll help you make sure that you have what you need to enhance your conference.

Catering

If your event includes meals or refreshments, we'll help you choose menus. (Did you know that turkey puts many people to sleep?)

Lodging

If participants will need overnight housing, we'll evaluate and block rooms for you in convenient locations, and we'll make sure that you get the best conference rates.

Speakers and Exhibits

If you like, we'll make all of the arrangements with your speaker(s), including contracts, travel, lodging, room set-up, audiovisual needs, and handouts. We can also take care of exhibits and exhibitors for you.

Marketing and Promotion

We'll work with you to create an effective marketing plan for your event. We'll develop a targeted mailing list, and we'll produce and mail the promotional materials. (You won't have to spend your lunch hour licking stamps!) We'll take care of advertising, news releases, and media relations.

Fiscal Services

The Office of Lifelong Learning and Education will handle all fiscal arrangements. We'll work with you to prepare detailed projected and final budgets. We know how to negotiate the maze of requirements and paperwork, and you'll be free to focus on more interesting matters.

Participant Registration and Meeting Materials

We'll manage participant registration (online if you like) and send confirmation letters and other materials promptly. (No more waiting until your grad assistant's paper is written.) We'll even take care of time-consuming details like production of nametags and handouts.

On-site Services

The Office of Lifelong Learning and Education will provide on-site management, making sure that everything runs smoothly and freeing you to participate fully in your event.
