General summary

Coordinates operations and administrative support functions for clinical departments. Provides direct patient care, instruction and education.

Major duties

  • Manages daily department operations. Provides administrative support to leadership staff.
  • Coordinates daily workflow within the department. Directs and administers programs, projects and processes. Makes policy recommendations and implements approved actions.
  • Develops and manages complex and fluid appointment schedules and assigns appropriate clinical support staff in an equitable and efficient manner.
  • Provides direct patient care instructions. Provides education to patients by performing certified medical assistant duties, including patient work-up, assisting clinicians and utilizing the electronic health record system.
  • Oversees cleaning and sterilization of all instruments used in clinical procedures. Schedules equipment maintenance.
  • Manages and maintains laundry inventory for clinical area, including completion of laundry onsite for towels, gowns and arranging delivery of bed linens and staff lab coats with external vendor.
  • Supervises inventory management to monitor and maintain balance of medical supplies utilizing the electronic inventory system.
  • Provides administrative support at nursing check-in station as required.

Minimum qualifications

Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.

Required education

  • Nine month to one-year certificate program in related field from an accredited institution.

Required experience

  • Two years' relevant experience.
  • Strong office software skills.
  • Experience with budget tracking and reconciliation, accounts receivable, billing, cashiering, and payroll.
  • Working knowledge of health insurance practices, policies, and diagnostic and procedure codes.

Desired qualifications

Desired education

  • Associate's degree or two years' college coursework in a related field from an accredited institution.

Desired experience

  • Experience providing guidance to students or other workers.

Desired other

  • Certified Medical Assistant (CMA, AAMA).

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
