General summary

Manages the academic scheduling process, including room placement for academic courses, academic departmental preferences and technology requirements. Coordinates classroom assignments for academic courses, special events and conferences.

Major duties

  • Manages all aspects of the academics scheduling process, including course scheduling, classroom assignments and course fees.
  • Monitors reports on classroom usage, course meeting patterns and contract hours to ensure optimal classroom utilization and compliance with University policies and accreditation requirements. Complies the annual space utilization report for the State of Michigan.
  • Works with academic departments to facilitate course scheduling including providing training and responding to issues when they arise.
  • Serves as liaison with facilities management, office of information technology and building coordinators to ensure classroom features, capacities and technology resources are current. Provides technical support and coordination between databases.
  • Assigns classes into academic classroom spaces, working closely with academic departments, faculty, staff and registered student organizations. Independently identifies, troubleshoots and resolves classroom problems and conflicts.
  • Produces and maintains the course scheduling, academics, final exams and priority registration calendars.
  • Analyzes academic schedule conflicts during final exams, communicates with academic departments to schedule alternative testing dates or classrooms.
  • Supervises staff and student employees.

Minimum qualifications

Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.

Required education

  • Bachelor’s degree in related field from an accredited institution.

Required experience

  • Three years’ relevant experience.
  • Supervisory or lead experience.
  • Strong interpersonal, written and verbal communication skills.

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
