Enrollment Management CRM User Personas & Competencies

What is a persona? EM-Tech defines persona as a grouping of similar characteristics shared by users that combine to create a generic role. Roles, responsibilities, and business practicies across the university vary, but the persona can be classified into the following categories of users within Enrollment Management CRM (Salesforce/TargetX):

  • Admission Unit Recruiters
  • Academic College and Program Recruiters
  • Admission Unit Application Processors and Operations
  • Graduate Program Coordinators
  • Academic and Faculty Advisors
  • Application Reviewers
  • Marketing and Communication Specialists
  • Orientation and Tranistion Offices
  • Student Workers
  • WMU Executives and Directors

After connecting with various users in the above groups, EM-Tech uncovered common competencies that each user group may find helpful to be successful in their role and while using the Enrollment Management CRM. All personas and competencies are subject to change as the system becomes more robust and informed by end users.

Personas and Competencies

All users of Enrollment Management CRM (Salesforce/TargetX) should have the knowledge and basic skills to:

  • Navigate the system
  • Personalize their settings
  • Search student records
  • Create new student records
  • Link emails from Outlook to a student's record in Enrollment Management CRM
  • Admission Unit Recruiters

    Admission Unit Recruiters should have the knowledge and skills to:

    • Create, edit, and run reports
    • Create, edit, and run dashboards
    • Create, schedule, and send emails through TargetX campaign builder
    • Create and edit Events; maximize use of the Event module
    • Create one-off activity histories to record outreach activities
    • Create, edit, and review tasks (i.e. open activities)
    • Locate, review, and decision applications and supporting materials
    • Locate, review, and resend email campaign broadcasts from Individual Email Results
    • Locate and use the Telemarketing Module
    • Review and respond to incoming text messages in Signal Vine
  • Admission Unit Application Processors and Operations

    Staff responsible for application processing and operations should have the knowledge and skills to:

    • Create, edit, and run reports
    • Create, edit, and run dashboards
    • Create, edit, and save enrollment histories (i.e. transcript data)
    • Create, edit, and save test score records
    • Create, edit, and clone application records and fields
    • Create one-off activity histories to record outreach activities
    • Create, edit, and review tasks (i.e. open activities)
    • Locate, review, and decision applications and supporting materials
    • Locate, review, and resend email campaign broadcasts from Individual Email Results
  • Academic College and Program Recruiters

    Staff and faculty in academic college and/or program-specific recruitment roles should have the knowledge and skills to:

    • Create, edit, and run reports
    • Create, edit, and run dashboards
    • View enrollment histories (i.e. transcript info)
    • Create, schedule, and send emails through TargetX campaign builder
    • Locate, review, and resend email campaign broadcasts from Individual Email Results
    • Create and edit Events; maximize use of the Event module
    • Create one-off activity histories to record outreach activities
    • Create, edit, and review tasks (i.e. open activities)
    • Locate and use the Telemarketing Module
    • Create and update Telemarketing Module campaigns
  • Marketing and Communication

    Users in the marketing and communication roles should have the knowledge and skills to:

    • Create, edit, and run reports (specifically for campaigns, activity tracking, and events)
    • Create, edit, and run dashboards
    • Create, schedule, and send emails through TargetX campaign builder
    • Locate, review, and resend email campaign broadcasts from Individual Email Results
    • Locate and use the Telemarketing Module
    • Create and update Telemarketing Module campaigns
    • Create and edit Events; maximize use of the Event module
    • Create folders for email templates, reports, and campaigns
    • Add images to Email Image Library
    • Deactivate unused campaigns, images, and templates
  • Academic and Faculty Advisors

    Staff and faculty in advisor roles should have the knowledge and skills to:

    • Find and edit reports for New Student Orientation (UG only)
    • Find and edit reports for yield (application and enrollment information)
    • Find and review enrollment history records (i.e. transcripts)
    • Find and view test records (i.e. AP, CLEP, SAT, ACT, GRE, etc.)
    • Create one-off activity histories to record outreach activities
  • Application Reviewers

    Faculty and staff responsible for reviewing admission applications should have the knowledge and skills to:

    • Locate, review, and decision applications and supporting materials
  • Orientation and Transition Offices

    Users in roles that support orientation and transition services should have the knowledge and skills to:

    • Find and edit reports for New Student Orientation, Fall Welcome, and all incoming students enrolled in their first term
    • Find and view enrollment history records (i.e. transcripts).
    • Find and view test score records (i.e. AP, CLEP, SAT, ACT)
    • Create one-off activity histories to record outreach activities
    • Create and edit Events; maximize use of the Event module
    • Create, schedule, and send emails through TargetX campaign builder
    • Locate, review, and resend email campaign broadcasts from Individual Email Results
    • Create one-off activitiy histories to record outreach activities
    • Locate and use the Telemarketing Module
    • Create and update Telemarketing Module campaigns
    • Review and respond to incoming text messages in Signal Vine (UG Dom Only)
  • Graduate Program Coordinators

    Faculty and staff serving as Graduate Program Coordinators or in support roles should have the knowledge and skills to:

    • Locate, review, and decision applications and supporting materials
    • Create, edit, and run prospective applicant reports by program and entry term/year
    • Create, edit, and run active application reports by program, stage, and status
    • Create, schedule, and send emails through TargetX campaign builder
    • Locate, review, and resend email campaign broadcasts from Individual Email Results
    • Locate, edit, and waive departmental application requirements from applicant checklist
  • Student Workers

    The role of student worker varies between supervisory area. If expected to work in Enrollment Management Salesforce, expected knowledge and skills include:

    • Create one-off activity histories to record outreach activities
    • Check-in students for events
    • Locate and use the Telemarketing Module
    • Create tasks for staff (i.e. open activities)
  • WMU Executives and Directors

    Most users in Executive or Director roles will have the knowledge and skills to:

    • Create, edit, and run reports
    • Create, edit, and run dashboards
