How Do I Complete My Form I-9?

Please note: Don't forget to bring your original, unexpired documents to Western Michigan University's Human Resources department after you complete these steps. For a list of acceptable documents see the U.S. Citizenship and Immigration Services, Accepted Documents.

  1. Access employee self service online by logging on to Go WMU (gowmu.wmich.edu). You will need your Bronco NetID and password.
  2. Navigate to your home tab (faculty/staff or student depending upon your primary status) and then to the my self service channel.
  3. Select employee self service. An employee self service window will appear.
  4. Select self service, personal information, and then complete and submit I-9 Form.
  5. Read the paragraph below your name and click on the I-9 Instructions link to read the detailed government instructions for Form I-9, including the List of Acceptable Documents for verifying your identity and employment eligibility.
  6. Review your date of birth, Social Security number and address. If all of your information is correct, move to step 7 below. Otherwise, make corrections as follows:
    1. Incorrect Social Security number:  Bring your Social Security card to Human Resources.
    2. Incorrect or blank date of birth: Select employee information on the left. Enter your date of birth, click save, and then click ok.
    3. Incorrect or blank home address: Select home and mailing address on the left. Enter your address, click save, and then click ok.
    4. Once Social Security number, date of birth, and home address are updated, return to complete and submit I-9 Form and move to step 7 below.
  7. Your email address and phone number are optional. If you do not want them included, please delete them.
  8. Enter your maiden name (last, first) if applicable.
  9. Choose one of the citizenship statuses under the citizenship and employment authorization section.
    1. If you are a Lawful Permanent Resident, you must enter your Alien Registration Number (A-Number) or USCIS Number in the field next to your selection. At this time, the USCIS Number is the same as the A-Number without the "A" prefix.
    2. If you are an Alien Authorized to Work, you must:
      1. Record the date that your employment authorization expires, if any. This date can be found on your Employment Authorization Document or on your Form I-20 (F-1 status), J-1 student letter (J-1 student status), Form DS-2019 (J-1 scholar status), or Form I-797 (H-1B status).
      2. Next, enter your Alien Registration Number (A-Number)/USCIS Number. At this time, the USCIS Number is the same as your A-Number without the "A" prefix. If you have not received an A-Number/USCIS Number, record your Admission Number. You can find your Admission Number of Form I-94 or I-94A, "Arrival-Departure Record," or as directed by the USCIS or U.S. Customs and Border Protection (CBP).
        1. If you obtained your admission number from CBP in connection with your arrival in the United States, then also record information about the foreign passport you used to enter the United States (number and country of issuance).
        2. If you obtained your admission number from USCIS within the United States, or you entered the United States without a foreign passport, you must write "N/A" in the Foreign Passport Number and Country of Issuance fields.
  10. Please read the minor and special placement details section and choose a box if it is applicable to you.  Follow the preparer notification instructions if applicable.
  11. Click accept and the confirmation page will appear.

Note:  If you selected one or more of the three minor and special placement details radio buttons, you will not get the confirmation page until your preparer/translator enters their name, address, and date.

  12. Within three business days of your first day of employment, report to Human Resources with your original, unexpired documents to verify your identity and employment eligibility.

Employees whose work location is outside of Kalamazoo county may be subject to an alternative procedure for employment eligibility verification. Please contact Human Resources for details.
