General summary
Curates the University archives collection, including implementation of the University record retention policy.
Major duties
- Implements University policies for records management, including acquiring, processing, storing, making accessible and disposing of records consistent with applicable state and federal regulations and University policy.
- Collaborates with other University offices to coordinate arrival of records, verify integrity of incoming records, create inventories, assign collection locations and monitor records in compliance with University policies. Administers incoming and outgoing loans of records.
- Ensures compliance with the University's record retention schedule and business record policies to select records for permanent retention and schedule records disposal. Supervises, tracks and provides reports on records disposal activities in the unit. Identifies vendors for specialized or large disposal projects.
- Manages collections and space allocations using library management software to identify placement of collections, books and other materials for optimum access and security.
- Curates collections of personal papers and memorabilia documenting the history of the University and its role in Michigan, including meeting with donors, appraising materials for historical and teaching value, maintaining donor files and identifying storage solutions to ensure preservation of materials.
- Provides reference and research assistance to the University and the community using collections, databases and other resources.
- Hires, trains, evaluates and supervises student employees.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution.
Required experience
- Three years’ relevant experience.
- Strong interpersonal, written and verbal communication skills.
- Strong organizational skills.
- Knowledge of integrated library management software and applications.
Required other
- License to operate order picker lift truck required by the Occupational Safety and Health Administration (OSHA), or ability to obtain license within probationary period.

- Certified Records Manager.
Physical requirements
Light work with some physical demands such as continuously lifting or moving materials less than 25 pounds, but rarely moving more than 25 to 50 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
