Contract Administrator and Preventative Maintenance Manager

General summary

Administers the preventive maintenance program for new and existing buildings.

Major duties

  • Administers vendor contracts associated with preventive maintenance.
  • Collaborates with purchasing to determine bidding specifications and a list of qualified bidders. Conducts pre-bid meetings with the bidder for service contracts. Reviews bids, makes recommendations, and prepares letters of intent for the successful bidder.
  • Compiles and creates preventative maintenance schedules and tasks for new and existing buildings.
  • Develops and schedules preventive maintenance programs in collaboration with custodial and landscape managers.
  • Records refrigerant usage for compliance purposes and schedules testing of boilers for state licensing.
  • Develops and schedules preventive maintenance programs in collaboration with custodial and landscape managers.
  • Gathers estimates for specific deferred maintenance funding requests and provides a breakdown analysis of contracted services costs for University departments.
  • Provides technical guidance, troubleshooting and recommendations for mechanical, plumbing, refrigeration, and building envelope systems.

Minimum qualifications

Required education

  • Bachelor's degree in related field from an accredited institution.

Required experience

  • Five years' relevant experience.
  • Strong interpersonal, written and verbal communication skills.
  • Office software skills, including word-processing and spreadsheets.
  • Working knowledge of facility HVAC systems.
  • Experience with reading blueprints and understanding nomenclature.
  • Experience with maintenance management software.
  • Experience managing, reviewing, and creating vendor contracts for bidding purposes.
  • Understanding of the preventative maintenance process.
  • Ability to manage maintenance service contracts for compliance.

Physical requirements

Light work with some physical demands such as continuously lifting or moving materials less than 25 pounds, but rarely moving more than 25 to 50 pounds.

Working conditions

Work is performed with exposure to any number of elements which may occasionally require some precautions such as safety glasses, protective clothing, ear protection, etc.
