General summary
Manages and coordinates the daily operations and activities of the Special Collections and Rare Book Room for University libraries.
Major duties
- Assists patrons with resources and services offered at the library, including interpreting collections and providing secure access to resources. Provides scans or photocopies of specialized resources. Coordinates exhibits and provides information to tour groups.
- Maintains departmental records, including financial reports, statistics, student employee information and donor and vendor correspondence. Develops and maintains documents relating to departmental procedures and guidelines.
- Prepares administrative record-keeping paperwork for payments on books, manuscripts and other items.
- Establishes procedures and priorities for security, conservation and preservation of materials. Supervises care and handling of collection materials by staff, student employees and researchers. Manages the tracking of materials in cataloging, exhibits and conservation.
- Manages and updates electronic finding aids for archival collections. Collaborates with librarians and staff to establish cataloging priorities, manage workflows and facilitate full cataloging of rare books and artifacts. Performs subject analysis and expertise on structure and content of materials.
- Trains and supervises student employees. Develops schedules and provides performance reviews. Oversees work in security, public services, reference, duplication services and book conservation.
- Serves as a resource for conservation and preservation for University libraries.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution, or equivalent combination of education and experience.
Required experience
- One year's relevant experience.
- Strong interpersonal, written and verbal communication skills.
- Strong organizational skills.
Required other
- Ability to work irregular shifts and extended hours, including evenings and weekends.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
