General summary

Serves as the Graduate College’s primary contact and coordinator of graduate assistantship appointments.

Major duties

  • Analyzes and resolves critical issues with graduate appointments. Serves as key contact for the Graduate College to advise and provide training to hiring departments on graduate appointee processes, policies and procedures.
  • Manages graduate appointments by monitoring student eligibility, ensuring departmental compliance with Teaching Assistants Union contract and University guidelines. Approves graduate appointee salaries, processes tuition awards and resolves problems relating to student accounts and financial aid. Manages creation and dissemination of uniform appointment letter templates and graduate appointee health insurance letters to ensure compliance with University requirements.
  • Supervises and trains staff on the daily operation of graduate appointments. Develops and establishes unit policies and procedures.
  • Coordinates with the University’s health center to determine graduate appointee health insurance and enrollment. Verifies graduate appointee eligibility, provides reports to Human Resources and Payroll and monitors student accounts to ensure appropriate billing.
  • Collaborates with other University departments responsible for processing graduate appointments to evaluate current procedures, develop and implement new processes in order to ensure best practice.
  • Manages data collection and reporting to various University departments in regard to graduate appointments and graduate enrollment management. Collaborates with Institutional Research to obtain necessary data.

Minimum qualifications

Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.

Required education

  • Bachelor's degree in related field from an accredited institution.

Required experience

  • Three years' relevant experience.
  • Supervisory or lead experience.
  • Strong interpersonal, written and verbal communication skills.
  • Strong organizational skills.

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
