General summary

Coordinates assignments and billing for on campus housing. Assists in the administration of the housing management online system, which allows students to sign up for on-campus housing and dining contracts.

Major duties

  • Works with the housing management system's vendor to understand nuances of the product and implement changes to the system, with the goal of making the system as robust as possible for housing department users. Anticipates and acknowledges issues with the system and input tickets with the vendor to fix those problems. Supports designing housing system student and staff facing templates and workflows.
  • Oversees on-campus housing assignments for apartments and residence halls. Works other departments and legal staff to prepare contracts. Updates and uploads all assignment information, contracts, leases, cancellations, student enrollment, and eligibility reviews to the housing management system. Updates spaces and adjusts billing correctly for a student with disability accommodations.
  • Works with other campus partners to manage space for occupancy needs. Reserves space in all on campus housing to satisfy specific needs and eligibility. Communicates with outside departments regarding space availability and process for reservations to ensure that students are able to sign up in specific spaces appropriately.
  • Recommends operational changes based on feedback from students, families, staff, best practices and the capabilities of the housing management system. Implements changes in the housing management system. Assists in continually analyzing business practices to ensure compliance with best practices.
  • Works with other departments on campus to understand housing needs. Updates the housing management system to reflect those needs. Is responsible for setting up the timelines so that the department can communicate and plan effectively with other departments across campus.
  • Offers training to end users on how to use the housing management system to accomplish what they need.
  • Evaluates and assesses program outcomes. Collects, analyzes, and formalizes data reports. Uses data to drive decisions and suggestions. Prepares and distributes reports to various partners.
  • Represents housing and residence life at various recruitment and retention events. Responds to students and families regarding inquiries and complaints. Manages assigned portions of the move in and move out processes for on-campus apartments.

Minimum qualifications

Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.

Required education

  • Associate degree or two years' college coursework in a related field from an accredited institution.

Required experience

  • Three years' relevant experience.
  • Strong interpersonal, written and verbal communication skills.
  • Strong organizational skills.
  • Proficiency with word-processing and spreadsheet software.
  • Experience with using and querying databases.

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
