General summary

Coordinates administrative and accounting functions for the University's financial aid office, including payroll, purchasing, general business and budget management support.

Major duties

  • Manages and processes payroll and coordinates departmental human resources functions. Directs department, federal and private funds. Conducts business transactions for the office.
  • Directs day to day operations of federally funded work-study programs. Maintains the work-study administrative schedule. Assists other departments with work-study payroll planning, management and control.
  • Develops informational material, electronic communications, web content and on and off campus training on work-study programs. Reports federal work-study community service earnings. Assists with annual audit of federal work-study funds.
  • Identifies, researches and resolves discrepancies and changes in eligibility between the University’s financial aid system, the general ledger and the payroll management systems. Assists departments with accurate reimbursements and return of funds.
  • Oversees and authorizes financial aid fund code requests submitted by University departments and scholarship coordinator. Coordinates and provides fund code process training and leads strategies for process improvement. Contributes to fund code authorization processing workflows.
  • Creates and provides training on office business policies and procedures.

Required education

  • Associate's degree or two years' college coursework in a related field from an accredited institution.

Required experience

  • One year's relevant experience.
  • Proficiency with word-processing and spreadsheet software.
  • Experience with using and querying databases and entering and tracking budget data.
  • Basic accounting concepts.
  • Accounting system experience.

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
