General summary
Coordinates the combined functions of acquisitions purchasing, invoicing and budgetary support with electronic and print resources for the library.
Major duties
- Coordinates the acquisitions purchasing process for monograph and other one-time acquisitions in multiple formats using several vendors. Evaluates and priorities purchase requests. Processes and documents inventory returns and exchanges, confirms pricing, and resolves discrepancies.
- Coordinates financial fund accounting, invoice creation, and financial reconciliation for library materials using an integrated library system. Creates invoices for processing, links purchase order lines to purchase orders, troubleshoots and remedies any invoice errors.
- Reconciles, approves, and posts cost information in the integrated library stems for all invoices. Monitors and maintains monthly finance statements and deposit accounts.
- Manages the receiving process, verifying order records, invoices ad shipments and assigning items to designated library locations, both physical and virtual.
- Processes and records government documents in a timely manner.
Minimum qualifications

Required education
- Bachelor's degree in related field from an accredited institution, or equivalent combination of education and experience.
Required experience
- One year's relevant experience.
- Strong interpersonal, written and verbal communication skills.
- Experience with library acquisitions or acquisitions budgetary management.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
