General summary

Performs non-routine office functions which substantially contribute to the units’ objectives including but not limited to customer service, quality assurance, special projects, disseminating documents and data as well as routine office duties.

Major duties

  • Responsible for assuring all grant procurement card statements, vouchers, and expenses documents are received.
  • Ensures all documentation meets University policy. Manages, maintains, and processes data using work processing, database, and spreadsheet software. Complies and logically formats statistical data.
  • Responsible for award and amendment setups in the University financials system.
  • Responsible for centralized billing process within the Universities financials system, including pulling general ledger detail for invoices and distributing them appropriately.
  • Responsible for the subaward monitoring processes, which includes invoices into database and emailing principal investigators for pay approvals. Ensures reporting compliance with the Federal Funding Accountability and Transparency Act for subawards.
  • Responsible for effort confirmation system.
  • Monitors phones and department email accounts and makes proper referrals as appropriate. Assists faculty and staff with administrative problems or concerns as they arise.
  • Submits deposit information as well as monitors unpaid invoices. May follow up with external sponsors on the unpaid invoices.
  • May assist the team in preparing annual financial audit work papers, assisting auditors with questions, reports, and files as requested.
  • Perform other duties and complete other projects as assigned.

Minimum qualifications

Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.

Required education

  • Associate's degree or two years' college coursework in a related field from an accredited institution, or an equivalent combination of education and experience.

Required experience

  • One year of relevant experience
  • Experience with office software, including word processing, spreadsheets, and presentation software.
  • Experience with accounting systems

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
