General summary

Responsible for the proactive management and activity tracking of University’s advancement overall prospect portfolio. Serves to support the University by applying data analytics and managing prospect identification and assignment services to facilitate the movement of donors through the leadership, major, principal, and planned gift portfolios.

Major duties

  • Serves as the primary resource for prospect and portfolio management and pipeline development through maintaining an overall knowledge of the University's top prospects and opportunities creating a clear roadmap for who, how, and why prospects are assigned to gift officers.
  • Assists guide portfolio optimization through a strategic focus on productivity of open opportunities and opportunity creation.
  • Ensures prospects are moving through the portfolio cycle by informing conversations and activities.
  • Monitors, tracks, and reports on portfolios, pipeline strength, opportunities, campaign tracking, etc.
  • Maintains dashboards, spreadsheets, and other information systems to ensure advancement can provide real-time information to various audiences, including University leadership
  • Coordinates and drives regular strategy sessions with front-line gift officers to discuss portfolio saturation, help assign promising prospects in order to convert prospects to donors.
  • Researches prospects, performs analyses, and clearly communicates findings to help development staff connect with, cultivate, and solicit the best prospects for University. Utilizes subscription and other resources to find required information on prospects.
  • Constructs and provides regularly scheduled reports for prospect management purposes, including those used at regularly scheduled prospect management meetings.
  • Creates and implements a process by which prospects are assigned to gift officers and ensure timely and appropriate follow-up is happening.
  • Creates, manages, and monitors contracts with vendors related to prospect management work; evaluate prospect management, research, and analytics tools and emerging technologies.

Required education

  • Bachelor's degree in related field from an accredited institution.

Required experience

  • One year's relevant experience.
  • Knowledge and understanding of relational fundraising of major gifts.
  • Knowledge and understanding of moves management concepts.
  • Knowledge and understanding of prospect management principles and methods.
  • Must possess personal initiative, an entrepreneurial spirit, and flexibility.
  • Strong problem-solving skills.
  • Ability to work cooperatively with diverse constituents.
  • Ability to work as a team member in a complex organization.
  • Strong research skills.
  • Excellent analytical, judgement and decision-making skills.
  • Self-motivated and self-directed.
  • Experience with office software, including word processing, spreadsheets and presentation software.
  • Experience using a customer related management software package.

  • Notary Public of Michigan, or willingness to be appointed and serve.

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
