General summary
Under supervision, coordinates the scheduling, planning and execution of high-quality hospitality and special events for departments across the University. Plans, directs and executes all event details and serves as a point of contact for University staff, athletic and other donors, alumni and fans related to special events.
Major duties
- Plans and coordinates, staff, schedule, budget, supervision, and directs all logistical activities engaged in managing special events for vested University departments.
- Keeps fans engaged and maintains relationships with key stakeholders such as season ticket holders, donors and alumni. Ensures a high-quality experience for all involved.
- Oversees and plans special events, which may be athletic or social in nature.
- Serves as the primary point of contact for special interest athletic support groups. Assists with related communications and special events as it relates to these groups. Participates in related administrative meetings.
- Responsible for working with internal and external constituents as it relates to marketing and promoting special events.
- Compiles and provides cost summary of events. Verifies and compiles event attendance and shares findings with supervisor and other staff as needed.
- Understands significant financial duties in regards to reservation and reconciliation of events. Responsible for creating and tracking event budgets.
- Ensures compliance with internal policies and maintains internal processes and standards.
- Works with internal and external individuals and vendors in all aspects of special event coordination. Purchases and maintains inventory of equipment and supplies as it relates to all assigned special events.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution
Required experience
- Experience in hospitality or event planning in sports or entertainment industry, or athletic arena event management.
Required other
- Ability to work irregular shifts and extended hours, including weekend and holidays
Physical requirements
Light work with some physical demands such as continuously lifting or moving materials less than 25 pounds, but rarely moving more than 25 to 50 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
