General summary
Works directly with the Chief of Staff and Secretary to the Board of Trustees to manage a variety of institutional projects and initiatives while providing leader-focused support. Collaborates with the Chief of Staff to prioritize, communicate, and manage organizational priorities and operations as defined by the President and Board of Trustees. Inspires effort and engagement from internal and external stakeholders and manages cross-campus projects and events. Promotes the vision, mission, and identity of the University as outlined in the University Strategic Plan.
Major duties
- Provides executive leader-focused support to the Chief of Staff to enhance and facilitate leadership decision making. Leads executive level, multifaceted projects and activities supporting action teams, executive searches, and other University initiatives.
- Serves as the Chief of Staff ’s primary delegate and extended point of contact to Trustees, Cabinet members, and University stakeholders. Manages confidential material and interacts with University dignitaries. Oversees the Chief of Staff 's calendar and daily agenda.
- Serves as key advisor and liaison for executive level searches. Plans and coordinates logistics, scheduling for executive searches on campus visits.
- Manages executive level webpages for the President’s Office, Chief of Staff and Board of Trustees. Collaborates to inspire institutional planning, policy development, and problem-solving. Identifies and resolves issues while providing timely updates to stakeholders.
- Provides administrative support and strategic insight to the Board of Trustees through timely preparation and distribution of materials to include requests, schedules, and notices.
- Manages trustee hotel and travel reservations, Board meeting location logistics, and calendar appointments for Board meetings. Coordinates passes, guest details, and parking credentials for the Board of Trustees with engagement events. Attends engagement events as needed to be a point person for trustees.
- Collaborates with multiple offices, to ensure the success of Commencement Ceremonies, and other university-wide events. Coordinates special meetings and events hosted and attended by the Chief of Staff, President and First Partner, and Trustees.
- Maintains various spreadsheets for tracking projects and expenses. Works within budget parameters.
- Oversees event coordination and catering services for President's Residence and Gilmore house. Provides logistical support and services to the President, President's family, and guests in the absence of the Resident Manager. Coordinates housekeeping, maintenance, and landscaping services. Supports the Office of the President as needed.
- Hires, trains, evaluates and supervises staff and student employees.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution, or equivalent combination of education and experience.
Required experience
- Two years' relevant experience
- Progressive leadership experience in a related field.
- Experience in an administrative role within organizations
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
