General summary
Manages the operational administration of the Procurement and Travel Card Programs.
Major duties
- Collaborates on budgetary and operational processes to reconcile procurement and travel card processes to ensure activities align with budget recommendations and card limits. Evaluates justifications for proposed changes to card limits and profiles.
- Assists in reconciling discrepancies. Handles monthly payments and reconciles payment activities with the general ledger.
- Reviews audit findings and provides recommendations for ongoing improvement. Conducts research to assist departments with exception transactions and fraud-related issues.
- Responds to inquiries from campus cardholders and performs pre-audit and other operational tasks before payment remittance. Ensures cardholders complete monthly operational and transactional tasks related to month-end processing and remittance.
- Manages all aspects of the procurement card database, including adding new cardholders and conducting training sessions for users. Manages new applications and updates, investigates, and resolves reconciliation issues, and offers technical support to campus cardholders
- Maintains the department website and makes updates related to program and policy changes.
- Creates and maintains financial records, reports, and databases. Performs additional payroll and accounts payable related duties as required.
- Participates in the development and recommendation of policy language related to procurement and travel cards.
Minimum qualifications

Required education
- Associate's degree in related field from an accredited institution.
Required experience
- Three years' relevant experience.
- Experience with accounts payable and payroll.
- Experience with accounting and general ledger.
- Strong interpersonal, written, and verbal communication skills.
- Experience with office software, including word processing, spreadsheets, and presentation software.
- Experience with customer service.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
