General summary

Coordinates graduate enrollment and training across academic departments, providing training on application workflows and admission procedures for enrollment staff, Graduate College staff, graduate assistants, and academic department personnel.

Major duties

  • Oversees daily application management tasks, prioritizing application processing and entry term change management. Ensures consistent and accurate application of policies and prepares applications for academic department review.
  • Provides ongoing training to direct reports and enrollment staff on customer relationship management, application systems, and graduate program processes. Trains academic department staff on procedures for multiple graduate programs and supports non-enrollment Graduate College staff.
  • Manages data integrity reports for provisional admits each semester and session, communicating status updates with applicants and departments. Audits application data to identify errors, resolving them directly or escalating issues as needed.
  • Responds to calls, email inquiries, and meets with students in person or virtually. Participates in recruitment events to promote graduate education.
  • Evaluates educational histories from various sources to determine admission decisions for graduate non-degree and non-traditional applicants.
  • Collaborates with internal and external stakeholders on admission policies and procedures. Works with International Admissions to provide bachelor’s degree equivalency information for domestic applicants with foreign transcripts.
  • Troubleshoots enrollment issues, escalating with case submissions as needed, using data from the customer relationship management system and other legacy university systems.

Minimum qualifications

Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.

Required education

  • Bachelor's degree in related field from an accredited institution.

Required experience

  • One year's relevant experience.
  • Strong interpersonal, written, and verbal communication skills.
  • Strong analytical skills.
  • Proficiency with word-processing and spreadsheet software.
  • Experience with using and querying databases and entering and tracking data.

Required other

  • Ability to work irregular shifts including extended hours, weekends, and holidays

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
