General summary

Manages the scheduling of the event, meeting, and most main campus outdoor spaces. Coordinates business functions and oversees marketing.

Major duties

  • Manages meetings and events by gathering relevant details. Provides advice and guidance on meeting and event services. Resolves scheduling conflicts and discrepancies.
  • Processes accounts receivable and accounts payable. Manages invoicing for meeting room rentals. Conducts monthly account reconciliations of revenue and expense budgets. Prepares fiscal and budget reports. Assists with revenue and expense budget development.
  • Monitors continual improvements to assessment efforts and serves on division-wide assessment committees. Ensures there’s engagement in division-wide efforts. Analyzes data and suggests follow-ups based on the analysis.
  • Develops and evaluates marketing strategies. Creates communication strategies to connect with campus, community partners, and clients.
  • Assists as an expert user of the scheduling and event management software. Integrates the software into critical business functions. Ensures a user-friendly online experience. Creates event diagrams and layouts using a computerized room diagramming software.
  • Creates and maintains strong partnerships with designated offices. Provides guidance and input to offices on procedures and guidelines relating to event planning and outdoor space use.
  • Adheres to applicable policies and procedures. Manages the annual and ongoing priority scheduling process.
  • Assist with alcohol and beverage service. Coordinates bar service logistics with clients.
  • Hires, trains, evaluates, and supervises staff and student employees.

Minimum qualifications

Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.

Required education

  • Bachelor's degree in related field from an accredited institution or at least 6 years relevant experience.

Required experience

  • Two years' relevant experience.
  • Proficient in Microsoft applications.

Required other

  • Ability to work irregular shifts and extended hours, including evenings and weekends.

Physical requirements

Light work with some physical demands such as continuously lifting or moving materials less than 25 pounds, but rarely moving more than 25 to 50 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
