General summary
Responsible for supervising staff who provide front-line academic services, including in-person support, transcript processing, and phone communication. Maintains student records, responds to departmental inquiries, and manages incoming communications.
Major duties
- Monitors and responds to departmental email inquiries.
- Oversees recruitment, onboarding, and training of staff. Conducts performance evaluations and manages access to systems and facilities. Provides daily support, monitors staffing coverage, and assists with operational needs.
- Processes grade changes and monitors associated deadlines.
- Reviews and records academic credit documentation, including advanced placement, international credentials, and departmental evaluations, in accordance with University policies.
- Responds to phone inquiries and resolves concerns from students, staff, faculty, and others.
- Prepares and submits enrollment and degree data to external reporting agencies. Monitors reporting schedules and error reports to ensure data submission.
- Oversees document imaging and handling processes to ensure compliance with data security standards. Retrieves and re-scans archived records as needed.
- Coordinates updates to student records related to international academic programs.
- Communicates with relevant offices to resolve issues and ensure accurate documentation.
- Manages processes related to incomplete grades, including extensions and grade updates. Sends notifications and adjusts academic standing as needed.
- Reviews and records academic policy forms, including academic forgiveness, academic integrity notifications, and GPA revisions.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution
Required experience
- Two years' relevant experience.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
