General summary

Manages the academic scheduling process for the University, including coordination with departmental schedule builders. Oversees the assignment of instructional spaces based on resource availability, instructional needs, and technology requirements. Coordinates classroom usage for academic courses, events, and other University functions.

Major duties

  • Manages all aspects of the academic scheduling process, including the coordination of course schedules, classroom assignments, and associated course-related logistics.
  • Reviews classroom and course data to make sure space is used well and rules are followed.
  • Creates and updates reports to track how classrooms are used and works with other departments.
  • Collaborates with academic departments to support course scheduling. Maintains contact lists and shared email accounts related to room scheduling. Provides training and support for scheduling systems and helps resolve related issues.
  • Coordinates with campus partners to ensure classroom spaces meet current needs for capacity, features, and technology. Manages access and settings for scheduling systems and supports connections between scheduling and student information systems.
  • Assigns academic courses to classroom spaces and works closely with University departments and groups to support scheduling needs. Identifies and resolves scheduling conflicts.
  • Produces and maintains the course scheduling, academic, final exam, and priority registration calendars.
  • Prepares upcoming academic terms in scheduling and registration systems. Creates and updates registration settings, resolves registration issues, and manages the start of the registration process, including setting registration priorities.
  • Reviews and resolves scheduling conflicts during final exam periods. Communicates with departments to arrange alternative testing times or classroom spaces as needed.

Minimum qualifications

Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.

Required education

  • Bachelor's degree in related field required.

Required experience

  • One year’s relevant experience required.

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
