General summary

Coordinates programming, operations, and communications, including instructional design, faculty development, and educational technology.

Major duties

  • Coordinates teaching and learning programming from conception to completion across all modalities by managing scheduling, venues, catering, external partner coordination, event logistics, materials preparation, and onsite or virtual support.
  • Oversees the annual programming calendar and supports internal committees, workgroups, and professional organization activities. Manages course development requests from initial outreach through implementation.
  • Oversees office operations and assigned spaces, including management of the main phone line, general email inbox, mail distribution, supply ordering, equipment, and shared spaces such as conference and break rooms, along with related administrative functions.
  • Provides operational support to teaching and learning leadership to ensure efficient daily workflow and service delivery.
  • Manages projects using established project management tools and workflows. Compiles and maintains consultation, event, and usage statistics to support reporting and year over year comparisons.
  • Oversees and updates event related website content and coordinates unit wide website publishing processes with the development team.
  • Monitors and tracks units’ budget and maintain financial documentation in compliance with University guidelines.
  • Serves as central purchaser for the unit. Processes purchases using purchasing card according to University guidelines.
  • May supervise and train student employees.

Minimum qualifications

Required education

  • Bachelor's degree in related field from an accredited institution, or equivalent combination of education and experience.

Required experience

  • Three years' relevant experience
  • Proficiency with word-processing and spreadsheet software.
  • Proficiency with web-based conferencing tools.
  • Experience with using and querying databases.
  • Experience entering and tracking projects and data.
  • Experience with event planning, project management, and collaborative projects.
  • Experience with content management systems, and web publishing platforms, including accessibility standards and best practices.

Required other

  • Ability to work irregular shifts and extended hours, including evenings and weekends.

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
