General summary
Serves as the chief governance officer and primary liaison between the Board of Trustees, University leadership, and key stakeholders. Ensures effective board operations by coordinating meetings, preparing agendas and materials, maintaining official records and minutes, and supporting compliance with bylaws and applicable regulations. Advises trustees and senior administrators on governance best practices and oversees commencement ceremonies and other official University events in alignment with institutional protocols.
Major duties
- Coordinates Board of Trustees meetings by preparing agendas and materials, managing schedules and notices, and collaborating with Board and University leadership on meeting preparation. Ensures timely distribution of meeting documents to trustees and senior leadership.
- Plans and oversees commencement ceremonies and other official university events in alignment with Board and institutional protocols.
- Coordinates extensively with campus partners to ensure successful multi-day events. Supports planning and execution of inauguration activities and ceremonies.
- Serves as the chief governance officer and primary liaison between the Board of Trustees, University leadership, and key stakeholders. Advises trustees and senior administrators on governance best practices.
- Manages trustee onboarding, orientation, records, and conflict-of-interest disclosures, and supports governance evaluation and continuous improvement. Oversees trustee events and travel logistics and represents the Office of the Board at engagement events as needed.
- Safeguards institutional records by maintaining accurate official records and minutes and overseeing compliance with applicable laws, accreditation requirements, and institutional bylaws.
- Provides administrative and financial management for Board operations by overseeing budgets, reimbursements, payables, procurement card activity, and expense tracking.
- Maintains Board web content and exercises signing authority for legal, financial, and contractual documents on behalf of the Board of Trustees.
- Leads the Board’s evaluation of the President in accordance with institutional bylaws and administers the Board’s self-assessment process to support effective governance.
- Plans and participates in University shared-governance meetings and retreats and leads additional institutional initiatives, including leadership development programs.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution.
Required experience
- Five years' relevant experience.
- Knowledge of University policies and procedures and the academic and non-academic structure at the University.
- Demonstrated experience supporting governing boards, senior executives, or high-level committees.
- Knowledge of higher education governance, regulatory compliance, accreditation standards, and institutional bylaws.
- Exceptional organizational, written, and verbal communication skills with strong attention to detail and discretion in handling confidential information.
- Ability to manage multiple priorities, meet deadlines, and collaborate effectively with trustees, executive leadership, faculty, and staff.
Required other
- Ability to work irregular shifts and extended hours, including weekends and holidays.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
