General summary
Provides advanced, confidential administrative leadership in support of the President and chief executive officer of the University. Independently plans, directs, and performs complex administrative functions requiring comprehensive knowledge of institutional policies, practices, and operations. Manages and supervises the staff of the Office of the President to ensure effective, efficient executive support.
Major duties
- Manages and supervises the staff of the department, including hiring, performance management, goal setting, and evaluations. Establishes expectations and models effective leadership to support a high-performing, committed team.
- Prepares reports, correspondence, and official submissions on behalf of the President, including compliance, personnel, legal, and external communications. Facilitates the President’s review and execution of required documents and signatures.
- Provides executive and administrative support to the president to enhance and facilitate his or her leadership and decision-making role. Handles executive level, multifaceted projects and activities. Serves as the president’s primary assistant, principle point of contact and liaison to senior leadership team and internal and external University stakeholders.
- Exercises oversight of calendar and president’s daily agenda. Prioritizes and schedules time to ensure president’s equitable exposure to internal and external constituencies.
- Manages the department’s operations by overseeing workflows, critical deadlines, and project progress to ensure accuracy and timely completion. Administers the office budget, including personnel costs and designated funds, and monitors expenditures to support effective resource management.
- Supports cabinet with meeting details and minutes. Supports individual vice presidents with travel authorizations and procurement card approvals.
- Addresses and resolves complaints and inquiries referred to the president from administrators, faculty, students, parents, donors, the board of trustees and external constituents.
- Provides analytical support by collecting, synthesizing, reporting and editing information needed to make operational decisions and demonstrate compliance and transparency.
- Manages projects and programs as assigned.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution.
Required experience
- Five years' relevant experience.
- Ability to manage administrative support for President and President's office including managing access to the president, managing the president's schedule, preparing correspondence under the president's signature, and attending meetings for the president.
- Advanced office software skills, proficiency in enterprise resource planning systems and budget management; Experience providing guidance to other employees.
Required other
- Ability to work irregular shifts and extended hours, including evenings and weekends.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
