General summary
Serves as main point of contact for the campus community's facility-related needs, providing the highest level of customer service. Provides a variety of technical and administrative tasks.
Major duties
- Independently performs core service center functions by responding to phone calls, online requests, and emails, and providing customer service to the campus community.
- Analyzes complex customer concerns to identify solutions, initiates service requests with contractors for specialized needs, and uses de-escalation skills when addressing difficult facilities issues.
- Applies workload management strategies during high-demand periods to ensure efficient service delivery.
- Composes and distributes campus-wide notification emails related to utility outages, closures, and other facilities updates, and assists with emergency communication processes as needed.
- Shares information with staff through established communication and collaboration platforms to support timely coordination and response.
- Administers and coordinates the posting and assignment of overtime opportunities for maintenance and landscape services staff and maintains current knowledge of applicable collective bargaining agreement provisions related to overtime eligibility and assignment.
- Uses a maintenance management system and related software to create, distribute, and analyze detailed departmental reports, including those related to warranties, event scheduling, purchasing, customer feedback, work orders, and key performance indicators.
- Enters and maintains data in accordance with established policies while ensuring accuracy and data integrity.
- Provides cross-functional support by conducting research for designated projects, entering and updating data in the maintenance management system, and assisting with the planning and execution of departmental events.
- Maintains knowledge of facilities management databases and procedures. Participates in end-user testing of system modifications, upgrades and enhancements.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Some college coursework from an accredited institution.
Required experience
- Two years' relevant experience.
- Experience with customer or administrative support.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
