General summary
Provides integrated, patient facing operational support across multiple clinical disciplines to ensure efficient workflows and coordinated care. Supports clinical intake processes, provider scheduling, documentation quality, and interdisciplinary communication in alignment with established clinical standards. Adapts to clinic needs by flexing across service areas to maintain smooth patient flow and high quality clinical operations.
Major duties
- Coordinates clinical intake workflows by managing forms, screening processes, referral routing, and waitlists across integrated care services. Ensures completeness and timeliness of clinical documentation in alignment with established clinical and compliance standards.
- Manages complex, multi provider scheduling by maintaining templates, coordinating appointments, monitoring no shows, and optimizing room utilization. Coordinates scheduling across clinics to support integrated visits and warm handoffs and ensures effective front end access management.
- Tracks clinical documentation status, prompts providers for missing elements, and supports interdisciplinary case coordination. Maintains accurate and confidential records in accordance with established clinical policies and standards.
- Maintains operational activity trackers to monitor service volumes, turnaround times, and attendance trends and provides reporting input to leadership to inform staffing and access decisions.
- Provides high quality, equitable frontline support to students by assisting with wayfinding and triaging individuals to appropriate clinicians or services within the unit.
- Provides operational support to the health center by applying appropriate clinical and administrative skills to support daily services and clinic needs.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Associate's degree or equivalent combination of education and experience in related field.
Required experience
- Three years’ relevant experience.
- Experience in administrative and clinical duties.
- Demonstrated experience in clinical scheduling, intake workflows or health records in a multidisciplinary setting.
- Experience handling confidential information and following institutional policies and procedures.
Desired qualifications
Desired experience
- College Health Setting experience and familiarity with insurance and authorization process.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
