General summary
Manages daily operations of the Athletic Business Office, including budget oversight, purchasing, data analytics, and business functions. Supports coaches and staff by ensuring efficient, compliant operations aligned with National Collegiate Athletic Association (NCAA), legal, and organizational requirements. Oversees assigned sport programs and leads implementation of revenue-sharing initiatives and student-athlete licensing agreements.
Major duties
- Ensures financial integrity through oversight of budgets, contracts, and agreements. Monitors Athletics finances, analyzes variances, forecasts financial performance, and supports effective resource allocation. Interprets department policies and serves as the primary fiscal liaison with University and external stakeholders.
- Manages the department operating budget to ensure accuracy and support long-term financial planning. Oversees business processes to ensure proper approval, recognition, and tracking of financial commitments.
- Monitors sport, administrative, and project budgets to promote effective resource allocation. Partners with coaches and department managers to develop annual operating, salary and wage, and ancillary budgets, and provides budget management training to division employees.
- Conducts research and provides financial analysis to support strategic decision-making and address current and future fiscal impacts. Delivers financial reporting and insights that promote fiscal integrity and informed resource management within Intercollegiate Athletics.
- Oversees department purchasing and procurement activities, including capital projects, purchasing cards, purchase orders, Requests for Proposals (RFPs), and Request for Quotation (RFQ’S)competitive bidding processes, and vendor contracts.
- Manages the preparation and processing of RFP’S, bid proposals, contracts, purchase orders, and sole-source documentation to ensure compliance and effective purchasing operations.
- Develops business plans and controls major projects and operational analyses. Develops short and long-term planning models and methodologies. May participate in capital project planning and development.
- Serves as sport administrator for assigned teams and performs other duties as assigned.
- Manages quasi-endowment for revenue share per NCAA, University, Conference, and Athletic Department rules and procedures. Assists in the development of student-athlete Licensing Agreements.
- Confirms proper reporting of licensing agreements in appropriate distribution year to collegiate governing bodies, in conjunction with efforts of University’s Compliance Office. Processes timely revenue share payments.
Minimum qualifications
Minimum qualifications based upon job documentation and industry best practices. Any current employees not meeting these qualifications will be grandfathered until they move to a different job.
Required education
- Bachelor's degree in related field from an accredited institution.
Required experience
- Five years' relevant experience.
- Working experience of Intercollegiate Athletics business office or related field.
- Budget management and fiscal analysis experience.
Required other
- Ability to work irregular shifts and extended hours, including evenings and weekends.
- On Call Duty.
- Ability to travel.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
