New Employee Orientation

Human Resources offers a weekly in-person orientation session for all new Western Michigan University employees, both regular and temporary. Orientation programs are offered each Monday and include important information about working at WMU. If the University is closed on Monday that week’s orientation will be held on Tuesday. New employees and their supervisors will receive an invitation from Human Resources via email. This email will include specific information about the orientation, and documents for the new employee to print, read and bring with them to their scheduled orientation session.

New Employees

  • Registering your vehicle for a WMU parking permit is easy! Parking Services has moved to a virtual permit system. A “virtual permit” is a non-tangible internet-based permit where parking rights are assigned to the license plate of a registered vehicle. The registration of a permit can be done at any time with a smart device or computer by clicking the “Get a Permit” button located on the Parking Services home page at https://wmich.edu/parking/virtual-permit-information. It is the responsibility of the employee to ensure they have registered and obtained their virtual parking permit at the time they begin parking on campus. 
  • It is important for you to get your Bronco ID Card. Your Bronco ID card identifies you as a WMU employee. You may go to Parking Services to have your photo taken or you may upload a photo online. Please read all the requirements closely to upload your photo and other details at https://wmudps.wmich.edu/bronco-card.php.
  • Orientation sessions begin promptly at 8:30 a.m. and last until 10:30 a.m. for temporary employees and approximately noon for benefits-eligible employees. A small morning breakfast snack (such as either a Belvita, Nutri Grain or Kind breakfast bar) and bottled water will be provided. After the orientation session, you will report to your department, unless your supervisor has informed you otherwise.
  • Form I-9 Processing. Before you come to orientation, you are required to complete section 1 of the Form I-9. While at orientation, you will complete section 2 of your Form I-9. To do so, please bring your original, unexpired work authorization documents.   • Direct deposit setup for employees. All new employees are required to enroll in Direct Deposit or be issued a Pay Card.  Employees may add and change direct deposit information directly through Employee Self Service. Visit the Payroll and Disbursements website at https://wmich.edu/payroll/payroll for Direct Deposit Self Service Job Aide information that include step by step instructions on updating banking information. If you need further assistance with direct deposit, call the Payroll and Disbursements Office at (269) 387-2935.
  • Benefits-eligible employees may complete the benefits enrollment process in Human Resources after the NEO session concludes. To enroll spouse and dependents, please bring copies of required benefits enrollment documents (e.g., marriage license and date of birth for spouse, birth certificates for children and social security numbers.)  If more time is needed to complete benefit paperwork, the employee has thirty-one days from the hire date to turn in the paperwork.  The due date is listed on the employee checklist.

Supervisors

  • Remember that the first work day for all employees should be on a Monday.
  • Please be sure that your new employees attend new employee orientation on their first day of work. If you do not receive an email confirmation, please contact the HR Service Center at (269) 387-3620 or at hr-hris@wmich.edu
  • Unless you inform them otherwise, your new employees will be asked to report to their department once the orientation session concludes.
