Understanding authorized user, proxy access, and student information release

WMU provides students with the ability to grant access to certain account, academic and financial aid information that complies with the Family Educational Rights and Privacy Act (FERPA).  The way in which students grant consent depends on the type of information they want a parent, family member or other third party individuals to be able to access.  The three options for granting access include:

Authorized user

Students can grant access to their payment and account information by setting an individual up as an authorized user.  Authorized users may be given access to make payments, as well as view and receive invoices and statements.  Students can designate an authorized user and specify the information they can access in GoWMU from the Payment and Account Information tab.

Authorized users can access information on the authorized user website by entering their email and password in the authorized user’s box.

Proxy access

Students can grant access to view certain academic and financial aid information by setting an individual up as a proxy user.  The information available through proxy access includes:

  • Degree Works
  • Enrollment Verification
  • Midterm Grades
  • Final Grades
  • Concise Student Schedule
  • Schedule of Classes
  • Unofficial Transcript
  • Financial Aid Requirements
  • Financial Aid Award for Aid Year
  • Financial Aid Payment Schedule

Students can grant proxy access and specify the information a proxy user can access from the Academic Services tab in GoWMU.  In order to grant access to financial aid information, students must voluntarily consent to participate in electronic transactions.  The consent form can be found in GoWMU on the Student Home Tab by clicking on Financial Aid.

Proxy users can log in on the proxy access login page with their email and established PIN to view the information granted by the student.

Anyone with access to Banner can see if a student established a proxy user and what access he or she have been given.  This can be done on the GPAPRXY form.   From the "Access List" tab on the GPAPRXY form, you will also be able to see if a student has revoked or disabled access they previously granted.

Student information release authorization

Authorized user and proxy access allow third-party individuals to view designated information online through GoWMU.  If a student wishes to authorize a WMU faculty or staff member to discuss confidential information with a third party, they can complete a student information release authorization form. The student must identify the third party, select the information they authorize and indicate the purpose for the release.

Once completed, Student Information Release Authorization forms are stored in Image Now with the document type Reg-Student Release Form.

Fact of the week
