Waldo Library Outreach and Information Table Guidelines
Western Michigan University departments, colleges, or units may request space in Waldo Library for tabling and outreach.
Registered student organizations (RSOs) that represent or provide services to all Western students (e.g., student government, campus media) may be granted tabling space in Waldo Library. Other RSO requests may be considered on a case-by-case basis if their activities align with the Libraries’ mission and space policies, with no more than two requests granted per week.
Groups not affiliated with Western and vendors may not request tables at this time. External groups may be allowed to table if they are partnering with a WMU department, which will serve as the primary contact.
Requests are evaluated on a first-come, first-served basis if they comply with the guidelines and space is available. Requests may be denied for security concerns or facilities limitations. Requests will not be considered on days when Waldo Library is closed.
The Libraries will provide up to two tables, two chairs, and one easel (upon request). All other equipment must be provided by the organizer.
All requests must comply with the following guidelines:
- Submit requests at least one week in advance. Approved requests will be confirmed by email.
- Only WMU departments, colleges or units may request tabling space for their use.
- Amplified sound (music, microphones, etc.) is prohibited while tabling.
- Activities must be confined to the designated tabling area. Solicitation in other areas of the building is prohibited.
- No selling, fundraising or soliciting is permitted.
- Must comply with the University Libraries’ Food Sales and Distribution Policy and Personal Conduct Policy.

Waldo Library First Floor
- Lobby—1 to 2 tables (near columns)
- Lounge—1 to 2 tables
Other spaces may be requested with special approval.
